This guide will walk you through exactly how to scan your documents and record your business knowledge using the phone that's already in your pocket. Step by step, with screenshots in your head by the time you finish reading.
Part 1: Scanning Your Documents With Your Smartphone
You don't need a scanner. Your smartphone camera is more than good enough. You just need to take clear, readable photos of your documents — one page at a time.
Here's how to do it on both iPhone and Android:
On iPhone or iPad
Option A: Using the Camera (Simplest)
- Open the Camera app
- Place your document on a flat surface with good lighting
- Hold your phone above the page, parallel to it
- Make sure all four corners of the page are visible
- Tap the shutter button to take the photo
- Move to the next page and repeat

- Open it and tap the big red circle button to start recording
- Just start talking. Hold the phone in your hand or set it on the table near you
- When you're done (or want to take a break), tap the red square to stop
- The recording is saved automatically
- To send it to us: tap the recording, tap the three dots (…), tap "Share", then choose Email or WhatsApp
How long? Record for as long as you want. 5 minutes is helpful. 30 minutes is great. An hour is gold. You can do multiple shorter recordings if that's easier.
Recording Audio on Android
Using Recorder or Voice Recorder (Pre-installed)
- Find the Recorder app (Samsung phones call it "Voice Recorder," Google Pixel calls it "Recorder")
- Open it and tap the red circle or microphone button to start
- Talk naturally. Set the phone on the table or hold it casually
- Tap the stop button when you're done
- Give it a name if you want (like "How I handle big customers")
- To send it: tap the recording, tap "Share", then choose Email or WhatsApp

- Find a reasonably quiet spot — you don't need a recording studio, just avoid heavy machinery noise
- Speak naturally at a normal volume — like you're explaining something to a friend
- Don't worry about "um"s, pauses, or going off track — we filter all of that out
- If you lose your train of thought, just say "anyway" and keep going — or stop and start a new recording
- Record while it's fresh — in the truck after a job, at your desk in the morning, wherever
- Multiple short recordings are just as good as one long one
